Schengen visa checklist for Indians (2026)
Every document, the right order to collect them, and the mistakes that get Indian applications refused.
Our visa desk files several hundred Schengen applications a year from Mumbai, Delhi, Ahmedabad and Bengaluru. Refusals are rarely about one missing paper — they're about a file that doesn't tell a clear, consistent story. Here's how to build one.
Apply to the right country. Your application goes to the country where you'll spend the most nights; if nights are equal, the country of first entry. For our Europe Grand Tour that's France, and for the Swiss Alpine Panorama it's Switzerland. Book your VFS appointment 6–8 weeks before travel — slots in October–December and April–June fill up fast.
The core documents: passport valid at least three months beyond your return with two blank pages (and your old passports), two 35×45 mm photographs on a white background, a signed cover letter explaining your trip, a day-wise itinerary, confirmed hotel bookings, a flight reservation, and travel insurance with at least €30,000 medical cover valid across the Schengen area.
Financials matter most. Submit six months of bank statements, stamped or digitally signed by your bank, with a healthy closing balance and no unexplained large deposits in the last few weeks. Add three years of ITR acknowledgements. If a spouse has no independent income, include the earning spouse's statements and a short sponsorship letter — joint-account statements alone are a common reason for refusal.
Employment proof: salaried travellers need an employer NOC or approved leave letter on company letterhead, plus three months' salary slips. Business owners should add the company's registration and a CA certificate. Students need a bonafide certificate from their college.
Finally, consistency. The dates on your cover letter, flight reservation, hotel bookings and insurance must match exactly. Our visa team cross-checks every file before your appointment, so you walk into VFS knowing nothing is missing.
