Plans change. This page explains how to cancel a booking with Hotline Holidays, what it costs, and how and when you get your money back.
1. How to cancel
Tell us in writing, by email to info@hotlineholidays.com or on WhatsApp to +91 99301 39139, quoting your booking number. The cancellation date is the day we receive your message (messages after office hours count from the next working day). We confirm every cancellation in writing with the amount to be refunded.
2. Cancellation charges
The charges for your trip are shown on the package page under Payment & cancellation and in your quotation; those apply. Group tours with fixed departures have their own, earlier slabs. Where your package or quotation states no charges, these standard charges apply:
India holidays
| When you cancel | Cancellation charge |
|---|---|
| 30 days or more before departure | 10% of the package cost |
| 15–29 days | 25% of the package cost + airline cancellation charges |
| 7–14 days | 50% of the package cost |
| Less than 7 days, or no-show | 100% of the package cost (no refund) |
International holidays
| When you cancel | Cancellation charge |
|---|---|
| 30 days or more before departure | 10% of the package cost + non-refundable airfare |
| 15–29 days | 35% of the package cost + airline cancellation charges |
| 7–14 days | 60% of the package cost |
| Less than 7 days, or no-show | 100% of the package cost (no refund) |
Charges are calculated on the total package cost. If the amount you paid is more than the charges, we refund the difference; if it is less, the balance is payable.
3. What is never refundable
- Airline tickets as per the airline's fare rules (many fares are non-refundable; taxes are refunded where the airline allows).
- Visa fees, embassy and visa-centre (VFS) charges, whatever the outcome of the application.
- Travel insurance once the policy has been issued.
- Hotel nights, cruises, trains, event tickets and activities booked at non-refundable rates (we tell you when a rate is non-refundable).
- The booking fee of ₹499, once the booking is confirmed.
- Services not used after the trip has started (missed transfers, skipped tours, early check-out, no-show).
4. Changing instead of cancelling
Moving your trip to new dates or changing travellers is often cheaper than cancelling. Changes are subject to availability and the suppliers' change fees, which we confirm before making any change.
5. If we or a supplier cancel
If we cancel your trip for reasons within our control, you get a full refund of what you paid us, or an alternative trip if you prefer. If a trip cannot go ahead because of events beyond anyone's control (natural disasters, epidemics, government orders, airline cancellations, unrest), we refund everything we recover from the suppliers, less any non-refundable costs already incurred, or help you rebook.
6. How refunds are paid
- Refunds are approved within 7 working days of your written cancellation (longer only when we are waiting for an airline or supplier, and we keep you updated).
- Once approved, the refund is sent to the original payment method (the same card, UPI or bank account) within 7–10 working days. Your bank may take a few more days to show it.
- Airline refunds follow the airline's own timeline, which can be longer; we pass them on as soon as we receive them.
- Every refund comes with a credit note for the GST invoice.
7. Failed or double online payments
If money left your account but the payment failed, or you were charged twice, our payment partner (Razorpay) returns it automatically, usually within 5–7 working days. If it hasn't arrived, send us the payment ID from your bank or the payment message and we will follow it up.
